Guide · Paperwork · Malaysia ↔ Singapore

Most cross-border delays are paperwork, not road time. When the documents match the goods, the declarations go through and the truck keeps moving. This checklist covers what we need from you to ship between Malaysia and Singapore in either direction. We arrange the export and import declarations on both sides — your part is giving us accurate information.

What we move

01

Commercial invoice

Seller, buyer, goods, quantities and values — it must match what is on the truck.

02

Packing list

Cartons or pallets, contents of each, and weights and dimensions.

03

Goods description

What the item is and what it is made of or used for — not just a product code.

04

Permits if needed

Some goods are controlled. Tell us what you ship and we check before booking.

In detail

Documents checklist

1. Commercial invoice: shipper and receiver company names and addresses, a description of each item, quantities, unit and total values, and the currency.

2. Packing list: how many cartons or pallets, what is in each, and the gross weight and dimensions.

3. Shipper and receiver details: company registration details and a contact person on each side.

4. Goods information: a plain-language description of each item, and for unfamiliar products a datasheet or photo.

5. Permits or licences: only for controlled goods. We tell you whether your goods need one before the truck is booked.

Why shipments get held at the border

The usual causes are an invoice that does not match the cargo, vague descriptions such as “parts” or “samples”, missing values, or controlled goods shipped without the permit. Each one stops the declaration until it is corrected.

Send us the documents before pickup and we check them against the goods, so problems are fixed at your office rather than at the checkpoint.

Singapore to Malaysia works the same way

Northbound shipments need the same set of information, with the export declaration on the Singapore side and the import declaration on the Malaysian side. We arrange both directions.

How it works

01

Send the documents

Invoice, packing list and goods details by WhatsApp or email before pickup.

02

We check them

We compare them with the goods and flag anything that would hold the shipment.

03

Declarations arranged

Export and import declarations are arranged on both sides, then the truck crosses.

FAQ

What documents do I need to ship goods from Malaysia to Singapore?

A commercial invoice, a packing list, clear goods descriptions, shipper and receiver details, and a permit only if the goods are controlled. We arrange the declarations on both sides from these.

Do I have to file the customs declarations myself?

No. We arrange the export and import declarations on both sides. You give us accurate documents and goods information.

How do I know if my goods need a permit?

Tell us what you are shipping before you book. We check and tell you whether a permit or licence applies.

What is the most common paperwork mistake?

An invoice that does not match the cargo, or a vague description. Both stop the declaration until they are corrected.
